Building Scalable Systems for a Counselling Practice

Launching a new practice is exciting until operations get in the way. Submitting claims manually through provider portals felt so overwhelming that they simply opted out of it entirely, only accepting cash or card. As a result, they unintentionally shut out an entire segment of clients and revenue.

Client Overview

A newly established counselling practice committed to accessible, client-centred mental health care. With long-term goals to grow their practitioner team and expand services, they needed operational infrastructure that could scale with them without requiring constant manual effort or compromising the client experience.

  • Streamline scheduling, notes, and client communications

  • Support direct billing within the platform itself

  • Scale easily by adding new team members under the same infrastructure

From there, we:

  • Cleaned and migrated all existing client data

  • Set up backend configurations and permission structures

  • Created streamlined workflows for intake, appointments, and billing

  • Provided guidance on integrating insurance billing into daily operations

The Outcome

  • A centralised system now houses all client information, documentation, and scheduling

  • The practice can offer direct billing to insurers without third-party portals or extra admin time

  • Notes and client communications are securely stored and easily accessible

  • New practitioners can be onboarded seamlessly with no disruption to existing workflows

The Impact

By putting scalable systems in place, the practice went from “doing the best they could with what they had” to operating like a mature, established clinic.

  • They opened access to a previously untapped client segment who rely on insurance
